PROJECT COORDINATOR - BOSTON, MA

We are currently seeking a motivated and experienced Project Coordinator to work full-time in our Boston office. This position will work closely with Project PIC's (Principal-in-Charge) and Project Managers/Architects.


Job Description:

The Project Coordinator will manage all project related administrative tasks and will provide support for project leadership and team members. The Project Coordinator will assist with coordination of project resources, meetings, meeting minute documentation, project related data entry, submittal receipt/distribution/log-in, RFI coordination, and project information filing to assist in maintaining the success of the project.


Responsibilities & Tasks:

Provide project administration support from project programming through construction documentation:

  • Program matrix data entry

  • Equipment matrix data entry

  • Taking & coordinating design meeting minutes

  • Project and project team schedule/calendar management

  • Assist with material research as directed by the Project Team

  • Printing, sorting, assembling drawing packages for multiple, varying issuances

  • Construction Documentation permit assembling/stamping/submissions

  • Generation of design affidavits

  • Transmittal generation for project Issuances

  • Provide project administration support for construction administration:

  • Logging in/distributing shop drawings/submittals to the corresponding discipline

  • Assist in assembling Bulletins/ASI’s

  • Track shop drawings/submittals due dates to ensure they are returned and distributed

  • per the contractual agreement

  • Track and submit RFI’s to ensure the project team provides timely responses

  • Produce field reports, for review, utilizing Project Teams field notes

  • Generation of construction control affidavits

  • Assist in project closeout procedures

  • Assist in Project Bid Packages, per contract agreements

  • Assist with obtaining discipline proposals and add service directives from project consultants

  • Assist with editing proposals and generating AIA contracts

  • Assist with consultant agreement contracts

  • Requirements:

  • Bachelor’s Degree (Preferred)

  • Proficient in MS Office (Word, Excel, Outlook)

  • Proficient in Adobe Suite (Photoshop, Illustrator, InDesign)

  • Verbal and written communication skills

  • Strong organization skills

  • Proficient in Newforma (will be trained if not)

  • Proficient in Unanet (will be trained if not)

  • Notary (plus)
