CLIENT RELATIONS & PROPOSAL ASSISTANT - BOSTON, MA
Ci Design, Inc. (Ci) seeks dynamic and vibrant professionals who can share their unique talents and make their mark within our growing and highly collaborative architectural firm which works in several thriving markets with practices in science and technology, mixed-use and residential, mission critical, workplace and industrial manufacturing. Within each of these practices, our team provides exceptional services in architecture, planning, landscape design, experiential graphics and branding, lab and manufacturing planning, interior design, procurement, strategy and change management.
We are seeking a motivated and detail-oriented Client Relations & Proposal Assistant to join our growing team at Ci. This position plays a crucial role in supporting firmwide business development efforts by assisting in crafting winning proposals. Given the specialized nature of our work and the hands-on teaching approach we employ, remote work opportunities are not available.
Responsibilities:
PROPOSAL SETUP: Initiating new opportunities in Unanet, Proposal Tracker, and on the Marketing Drive in accordance with firmwide standards, ensuring easy access to past proposals and related materials; reviewing scope and proposal requirements with leadership to understand sub-consultants, necessary materials, and related deadlines.
PROPOSAL SCHEDULING: Tracking deadlines associated with proposal submissions, including but not limited to questions, site-walks, response deadline(s), consultant deadline(s).
LIAISON WITH SUB-CONSULTANTS: Collaborating with Architect(s), Designer(s), and Proposal Manager to gather sub-consultants’ materials for proposals; distributing templates for sub-consultant use to ensure brand consistency and proposal cohesion; reviewing and implementing received materials to ensure compliance with submission requirements.
PROPOSAL PREPARATION: Assembling proposal materials in compliance with requirements; proofreading for clarity, coherence, and accuracy; preparing drafts for review by leadership.
FEEDBACK IMPLEMENTATION & SUBMISSION: Implementing feedback and edits on proposals as directed by Architect(s), Designer(s), and Proposal Manager; submitting to Client Relations & Proposal Manager and leadership for final review before submission; submitting final, approved proposal.
PROPOSAL FOLLOW UP: Following up on submitted proposals for status updates, new opportunities, and outcomes for continuous improvement and excellent client experience.
CLIENT RELATIONS ASSISTANCE: Providing support for client relations and business development activities as needed.
DATA ENTRY & MAINTENANCE IN UNANET/CRM/AIRTABLE: Updating and maintaining comprehensive opportunities, staff, consultants, clients, and business development activities.
